How to Run a Client Pitch From a Rented Meeting Room
A pitch is not the time to find out the screen doesn’t connect or the room is too small. If you’re pitching from a rented meeting room, a little planning makes the room feel like your own office.
Here’s a practical checklist for running a pitch from a rented room in Memphis.
Pick the right room
Room size changes the energy of a pitch. Too big feels empty. Too small feels cramped.

Book more time than the meeting
Book 30 minutes before and 15 minutes after. You’ll use the first block to set up and the last to debrief or take notes while it’s fresh. A half-day booking saves 10% if your day is full of meetings.
Test the tech before anyone arrives
- Connect your laptop to the display and put your first slide up.
- If someone is joining by video, start the call early and check the camera angle.
- Close every notification, email and chat window.
- Have a backup: slides on a USB drive or a PDF on your phone.
Adapters are available on site, but bring your own charger.
Make it easy to arrive
Send the address, parking details and a room name in the invite. Parking at Tucker Collective is free, with on-site parking plus street parking nearby. Your confirmation email includes a parking map you can forward.
Small touches that matter
- Coffee or water ready when they walk in.
- Seats arranged so nobody has their back to the screen.
- Printed one-pagers if your audience likes paper. Printing is available on site.
- Whiteboard for the moment someone asks, “Can you sketch that?” Blue, Chilton and Lucille have interactive whiteboards.
After the pitch
Stay in the room for ten minutes. Write down what landed, what questions came up and what you promised. That’s the most valuable ten minutes of the booking.
